Digital guest registration that satisfies Meldegesetz §5 for every overnight guest, plus the monthly VIETour Nächtigungsmeldung (Statistik Austria) — generated from the same registration data. Bookings and gross revenue come from Smoobu via API key, not from manual entries you maintain by hand.
14-day refund · Connect Smoobu in under 10 minutes · €5.90 / apartment / month on the Wien Compliance plan
Five automated steps. No spreadsheets. No copy-pasting prices. No "did I file Maria yet?" Sunday-night anxiety.
Guest books on Airbnb, Booking.com, or direct → Smoobu syncs it → we pull the reservation + apartment + nights + gross accommodation revenue via the Smoobu API. No iCal lag, no manual import.
A few days before arrival, the guest receives a one-tap link in their language (DE, EN, IT, FR, ES…). They confirm name, nationality, document number, address of origin. Mobile-first form, 90 seconds.
Signed digitally by the guest. Encrypted at rest in our EU-resident database, retained for 7 years per Meldegesetz §10 Abs. 2. One-click PDF for any authority that asks.
First of each month, we compile the VIETour Nächtigungsmeldung in the exact CSV format Statistik Austria expects. Per apartment, broken down by country of origin and nights. You upload it to VIETour with two clicks.
Choose collective (one PDF across all apartments) or individual (one PDF per Abgabenkonto). Drop into your Buchhaltung folder or hand to your Steuerberater. Ortstaxe is computed in the same flow.
A check-in form alone is the easy part. The host's actual workflow — keys, cleaning, special requests, multi-jurisdiction compliance — is where most tools stop. Ours doesn't.
No registration, no key. The access code stays locked until the guest signs the digital Gästeblatt. Eliminates the "guest checks in but never registers" loophole that Smoobu's flow leaves open.
When a guest writes "we'll arrive around 7 PM" in the chat, our AI extracts it and writes "Arrival ~19:00" onto the cleaning calendar. Your cleaner sees it. You see it. No more digging through threads.
"Could we get extra towels?" — extracted from the chat, attached to the booking, visible to the cleaner before turnover. Late check-in, early check-out, allergies, dietary preferences — all parsed once and never lost.
Lockbox combination changed? The cleaner edits it directly from the cleaner portal — the host doesn't need to be in the loop. Next guest's link picks up the new code automatically. No WhatsApp scramble at 8 PM on a Sunday.
The form captures every field required by the Austrian Meldegesetz §5 AND the German Bundesmeldegesetz §29 — usable for hosts in all 9 Austrian Bundesländer and across Germany. Auto-filing is currently live for Wien VIETour; the rest are on the roadmap.
Smoobu collects the form. We turn the form into a workflow — gated keybox release, calendar-aware messaging, cleaner self-service, multi-jurisdiction filing. See the side-by-side →
Most Wien check-in tools take an iCal feed (no prices) or just give your guests a link to fill out — leaving you to type the gross sales for every booking by hand to compute Ortstaxe. That's 80+ manual entries a year per apartment.
We connect to Smoobu via your API key. The full reservation, the full price breakdown (gross revenue, cleaning fee, breakfast — separately), and the apartment metadata flow into our system the moment the booking is made. Zero manual entries.
Every month, every quarter, every year. Two formats — pick the one that matches how your Buchhaltung is set up.
Need a different cut? CSV export for Excel, JSON via API, or custom date ranges — all in the dashboard.
No clicking through five tabs to turn Vienna Tourismus Statistik on for one apartment. The properties page shows every feature for every apartment in a single grid — Autopilot, Upselling, Calendar, Statistik, VIETour. Flip what you need, leave what you don't.
Switch any feature on or off per apartment. The host portal is the actual screen — not a screenshot.
A clean, signed Abgabenerklärung PDF — ready to send to your Steuerberater or upload to MA6. Same structure for the Ortstaxe report and the VIETour Nächtigungsmeldung CSV.
Same layout for individual per-apartment PDFs. Switch in the dashboard.
Every paid-accommodation provider must record the personal details of every overnight guest. Name, date of birth, nationality, document type and number, address of origin, arrival date. Records retained 7 years (§10 Abs. 2). Applies to every Austrian apartment regardless of Bundesland.
Wien-specific monthly statistical filing to Statistik Austria via the VIETour platform. For every apartment: number of guests, nights, country of origin, arrival/departure breakdown. Aggregated data — no personal details leave your system. Filing window: 14 days after the end of each month.
3.2% of net accommodation revenue (current rate, until 30 June 2026), with the official 11% Pauschalabzug. Rises to 5% in July 2026, then 8% in July 2027 per the WTFG amendment. Computed per booking, summed per Abgabenkonto, filed quarterly. Full Ortstaxe explainer →
Guest data lives in our EU-resident database with a separate encryption key from your other data. We're a Verarbeiter under Art. 28 DSGVO — Auftragsverarbeitungsvertrag (DPA), Technical & Organisational Measures (TOMs) signed before any guest data is collected. The host portal accepts these documents in one click before the system goes live.
We're not tax advisors and this is not legal advice. Always confirm your specific obligations with your Steuerberater or directly with MA6 (Wien) and Statistik Austria.
