A few days before arrival, the guest receives a one-tap link in their language (DE, EN, IT, FR, ES…). They confirm name, nationality, document number, address of origin. Mobile-first form, 90 seconds.

What the law actually requires

Vienna Tourismus Statistik, in plain language.

1. Meldegesetz §5 — Federal guest registration

Every paid-accommodation provider must record the personal details of every overnight guest. Name, date of birth, nationality, document type and number, address of origin, arrival date. Records retained 7 years (§10 Abs. 2). Applies to every Austrian apartment regardless of Bundesland.

2. Beherbergungsstatistik-Gesetz + WTFG §13a — VIETour Nächtigungsmeldung

Wien-specific monthly statistical filing to Statistik Austria via the VIETour platform. For every apartment: number of guests, nights, country of origin, arrival/departure breakdown. Aggregated data — no personal details leave your system. Filing window: 14 days after the end of each month.

3. Wiener Tourismusförderungsgesetz §11 — Ortstaxe

3.2% of net accommodation revenue (current rate, until 30 June 2026), with the official 11% Pauschalabzug. Rises to 5% in July 2026, then 8% in July 2027 per the WTFG amendment. Computed per booking, summed per Abgabenkonto, filed quarterly. Full Ortstaxe explainer →

4. DSGVO / GDPR

Guest data lives in our EU-resident database with a separate encryption key from your other data. We're a Verarbeiter under Art. 28 DSGVO — Auftragsverarbeitungsvertrag (DPA), Technical & Organisational Measures (TOMs) signed before any guest data is collected. The host portal accepts these documents in one click before the system goes live.

What is the Vienna Tourismus Statistik?
A monthly statistical filing every paid-accommodation provider in Wien must submit to Statistik Austria via the VIETour platform — guest counts, nights, country of origin, per apartment. Required by federal Beherbergungsstatistik-Gesetz plus the WTFG.
Do I still need to register guests if they are EU citizens?
Yes. Meldegesetz §5 applies to every overnight guest in paid accommodation regardless of nationality. The VIETour Nächtigungsmeldung counts every overnight stay including EU and Austrian guests.
How does Virtual Host AI know the gross sales for Ortstaxe?
We pull it directly from Smoobu via API on every booking. No manual entry per booking. Smoobu's price-elements endpoint gives us the gross accommodation revenue separated from cleaning fees and breakfast (which are excluded automatically per WTFG §11). You see it ready in the report.
What if I don't use Smoobu?
Smoobu is currently the only PMS we integrate with. We chose them because their API is the cleanest for the Austrian market and they have direct connections to Airbnb, Booking.com, and Expedia. If you're on a different PMS, drop us a message — we look at every request.
What about hosts in Tirol, Salzburg, Steiermark — or in Germany?
The form captures the data fields required by both the Austrian Meldegesetz §5 and the German Bundesmeldegesetz §29 — so the digital Gästeblatt is usable today for any Austrian Bundesland AND for German hosts. Auto-filing to the regulator is currently live for Wien (VIETour); the other Austrian Bundesländer and Germany filing portals are on our roadmap. Existing customers in those regions get the auto-filing at no extra charge when it lands.
When does the guest get the access code?
Only after they've submitted the digital Gästeblatt. The access code (or keybox combination) is stored against the booking but kept hidden from the guest's confirmation message until the form is signed. This eliminates the "guest checks in but never registers" loophole that an unconditional Smoobu auto-message leaves open. Hosts can also override per-booking if they need to release a code earlier.
Can the cleaner update the access code?
Yes — via our cleaner portal at /cleaner. When a lockbox combination changes after a turnover, the cleaner enters the new code directly. The next guest's check-in link picks up the new code automatically. The host doesn't need to be in the loop, the cleaner doesn't need WhatsApp screenshots, and there's a clean audit trail of who changed what when.
Does the AI extract guest arrival times into the calendar?
Yes. When a guest writes "we'll be there around 7 PM" or "anreise gegen 19:00" anywhere in the chat thread, the AI extracts it and writes "Arrival ~19:00" onto the cleaning calendar event. Special requests (early check-in, late checkout, extra towels, allergies) are extracted the same way and attached to the booking so the cleaner sees them before turnover. None of this requires the guest to fill out a form — pure message-thread extraction.
How is this different from other Wien check-in tools?
The typical Wien check-in tool charges per registered form (around €0.40 each is common) and requires you to enter the gross revenue manually for every booking before Ortstaxe can be computed. We charge a flat €5.90 per apartment per month on the Wien Compliance plan, no per-form fees, and pull every gross-revenue value from Smoobu automatically. Will it work if I'm cancelling — can I get my data out?
Yes. The /checkin-status page lets you export every guest entry as PDF or CSV. Cancel any time inside 14 days for a full refund (Austrian §11 FAGG). After 14 days, cancel at period end with a single click.
